Start here

  1. Look around using the sample data first. Try the Large groups view under "Find a venue".
  2. When you're ready, delete the sample rows.
  3. Add your own venues.

The free Notion plan is enough for one person. You only need a paid plan to share with a team.


The two fields that matter most

Private Room Type — five fixed values. Never add more.

Value Meaning
Fully private (with door) Enclosed, has a door
Semi-private (no door) Screens only, sound carries
Whole-venue buyout A floor or the whole site
Partitioned Movable dividers
None —

Agree these definitions once and "we booked a private room and it had no door" stops happening.

Coach Access — three fixed values: On-site, Nearby (walkable coach park), None.

Never published on a venue's website, and it decides more bookings than almost anything else. Put the detail in Drop-off Space — walking distance, surface, whether the coach can wait.

The one rule that keeps this working: never turn a dropdown into free text, and never let people add options as they go. A field holding yes, Y, 2 rooms and on request cannot be filtered.


Internal fields

Six fields are prefixed [Internal]: commission, payment terms, cancellation policy, contact, contact phone, notes. They are excluded from the proposal view by design.
